Cogsult is committed to protecting your privacy. This Privacy Policy explains what information we collect through this Site, how we use it, and your rights with respect to that information.
1. Information We Collect
We collect information you voluntarily provide when you submit the contact form on our Site or request access to one of our CogTools™ or download one of our resources. This may include your name, email address, organization, job title, the type of lab you work in and what you are working on, and the content of your message. We also collect information about how the Site is used through Google Analytics and Microsoft Clarity, as described in section 4, and standard web server logs (such as IP address and browser type) are generated when you visit the Site.
2. How We Use Your Information
Information you submit through the contact form is used to respond to your inquiry and to communicate with you about potential or existing consulting engagements. When you sign up to access one of our CogTools or another download, we use your details to give you the resource you requested. We send marketing email, such as practical LIMS tips about once a month, only to people who opt in by ticking the checkbox on that sign-up form. The checkbox is optional and is not required to get the download. Every email we send includes an unsubscribe link. We do not sell, rent, or trade your personal information to any third party.
3. Data Retention
We retain contact form submissions and related correspondence for as long as necessary to fulfill the purpose for which it was collected, or as required by applicable law. If you would like your information removed from our records, please contact us and we will honor that request promptly.
4. Cookies and Analytics
We use Google Analytics 4 to understand how visitors use the Site, such as which pages are viewed and how people find us. Google Analytics sets first-party cookies named _ga and _ga_<ID>, which hold a random identifier and last up to two years. We use Google Consent Mode to respect your choice. If you are in the European Economic Area, the United Kingdom, or Switzerland, analytics cookies stay off unless you click Accept on our cookie banner. Everywhere else, analytics cookies are on by default, and you can turn them off at any time by clicking Decline on the banner or using the Cookie settings link at the bottom of every page. While analytics cookies are off, Google Analytics sets no cookies and receives only limited, cookieless signals. Your choice is saved in your browser for 12 months, after which we ask again. We also use Microsoft Clarity to understand how visitors use the Site, through session recordings and heatmaps, with anything you type into forms masked. Clarity follows the same choice: it does not run unless analytics is on for you, and Decline stops it and deletes its cookies (_clck and _clsk). We do not use advertising cookies, and we do not use your data for advertising or ad personalization.
5. Third-Party Services
We use a small number of third-party services to run the Site, each of which handles data under its own privacy policy: Google Analytics and Microsoft Clarity, for usage analytics as described in section 4; Google reCAPTCHA, which checks that submissions to our contact form, CogTools sign-up forms, and download forms come from a person rather than a bot, and sends device and browser information to Google to do so; Formspree, which delivers contact form submissions, and notices of sign-ups to download one of our resources, to us by email; Mailchimp, which stores the name, email address, and organization you enter when you request access to one of our CogTools or download one of our resources, any optional details you add about your lab, and whether you opted in to marketing email; and Microsoft Bookings, which handles meetings booked through the scheduler on our About page and our cogsult.com/book link, with the meeting itself held on Microsoft Teams. Our Site may also link to other websites. This Privacy Policy applies only to the Cogsult Site. We are not responsible for the privacy practices of any third-party sites and encourage you to review their privacy policies before submitting any personal information.
6. Data Security
We take reasonable technical and organizational measures to protect the personal information you provide against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
7. Children's Privacy
This Site is not directed to individuals under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted personal information through our Site, please contact us and we will delete it promptly.
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete the personal information we hold about you. To exercise any of these rights, please contact us using the contact form on this Site. We will respond to all requests within a reasonable timeframe.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. Your continued use of the Site after any changes constitutes your acceptance of the revised policy.
